Position Summary Information

Position Summary

The University Archivist & Head of Special Collections (University Archivist) is responsible for reporting to the Dean of the Library all goals, plans, and special projects of Archives, especially those areas of Archives that impact other departments inside the library, across the campus, and within the community. This is a non-tenured faculty position.

The University Archivist oversees all aspects of acquiring, arranging, preserving, describing, making available, and promoting the permanently valuable institutional records and historic records of the University, utilizing standard archival practices.

Qualifications

MLS or MLIS, from an ALA accredited program, with an emphasis in Archival Management and Theory, and other training such as the Georgia Archives Institute.

ADMINISTRATIVE
• Develop and implement archival policies.
• Set goals, evaluate policies, research and write grants, and assess services and effectiveness.
• Create and keep updated webpage for CSU University Archives.
• Provide budget expenditures and future expenditures as requested. Keep within budget.
• Maintain records for assessment and annual reports.
• Prepare reports: Self-evaluation, annual, monthly, faculty accomplishments and others as requested.
• Order archival supplies and equipment.

ARCHIVAL
• Acquire, accession, describe, and arrange permanent valuable archival materials.
• Actively solicit materials for the archives from current faculty, staff and students, as well as alumni, retirees and community organizations.
• Perform preservation/conservation/reformatting activities
• Create displays to highlight archival collections and to support campus events.
• Provide reference services to researchers.
• Author descriptive tools: website content and descriptive finding aids.
• Set policy and oversee work on digitizing materials and creating web pages and additions to web page for the Archives.
• Provide internship projects to train work-study students, interns and volunteers on archival terms and archival work processes.
• Provide exhibits on various aspects of CSU history through collections.
• Work with CSU departments to create collections and provide access to those collections through research and Archives’ and departmental web pages.

INSTRUCTION
• Develop and teach classes on archival topics as requested by faculty, staff, students, departments, and community organizations.
• Participate in bibliographic instruction classes with the library faculty when needed.

SUPERVISION
• Recruit work-study students, interns and volunteers to work in the Archives.
• Supervise staff and students (interns, work-study students, volunteers, including graduate students when available.) Overseeing all projects and activities in the Archives.
• Instruct, educate (for archival work), and supervise work-study students, interns and volunteers.
• Track hours for completion of required internship credit hours.
• Evaluate interns at the completion of the semester.

OUTREACH
• Work with campus offices to educate and encourage donations of office materials and records to the University Archives.
• Partner with other archives, community organizations, societies and individuals to consult on areas pertaining to archives, accessions, preservation, and access.
• Participate in local public school events: career day, presentations about archives and comparison to libraries, etc.
• Provide outreach services to the public: exhibits, slide show presentations, and instructional programming. Build partnerships with community organizations.
• Provide exhibit space for faculty, staff, and student groups, as well as, community and special interests.

PROFESSIONAL DEVELOPMENT
• Participate in professional organizations.
• Attend conferences and meetings pertaining to archival practices.
• Attend classes, seminars, and webinar to build on professional skills.
• Engage in the profession through scholarly publications, articles, and presentations.

LIBRARY DUTIES
• Assume librarian duties as requested when there are staffing issues.

Minimum Education Requirements

Masters degree with 18 graduate hours in Archival Management and Theory.
