Position Summary Information

Position Summary

This position provides support with the budget keeping, and monitoring of the Facilities Management Department. It maintains budgets for Facilities Management, prepares contractor reports quarterly, A/E Monthly Reports, reconciles monthly purchasing card statements, pays and tracks utilities bills, request purchase order and pay invoices, prepares construction and services contracts, and maintain budget tracking. This position will be responsible for insuring assigned contract list, PO and invoices are in compliance with state policies and procedures. Incumbent will creates and maintains a positive and respectful working environment. This position plays a supporting role in the contract administration, purchase orders, vendor coordination, record management, purchasing procedures, and budget management.
This is an administrative position. This position reports to the Assistant Vice President of Facilities Management.

Qualifications

• Financial and administrative experience is required.
• Physical requirements include thinking analytically, use effective verbal and written communication, remember details, keyboarding/typing, concentrate on tasks, attend work related meetings and directing others.
• Valid Georgia Driver’s License required.
• Background and credit check will be required for a state issued purchasing card.
• Experience with computers, including database, Peoplesoft modules.

Minimum Education Requirements

• Associate’s degree with several years of experience preferred; or High School degree with extensive budget management experience

Responsibilities Summary

• Monitor annual budget and develop monthly reports, maintain standard reports showing recent expenditures and current balances available for upcoming operations; monitor and oversee budgets; oversee funding and spending compliance; work in conjunction with various Facilities Management department managers and department heads to ensure fiscal compliance with federal, state and Clayton State University policies and procedures; develop and implement policies and procedures to ensure compliance.
• Includes but not limited to directing, administrating contract management, budget management, purchase order, invoice payments, record management, utilities bill payment tracking and PCard reconciliation.
• Provide financial reports, forecasting and analysis of financial trends in order to assist the Assistant VP and the senior leadership team in making decisions and allocating resources.
• Oversee budgetary planning and cost management to assure compliance and alignment with the Facilities Management goals and strategic priorities.
• Promote, and celebrate diversity and inclusion in the workplace. Foster an atmosphere that is collegial, and that promotes and encourages a work environment that is recognized for the respect and support shown toward faculty and staff.
• Responsible for coordinating with various Facilities Management Department functions.
• Other related duties as assigned.
