Position Summary

The Dental Hygiene Clinic Assistant is a temporary part time position limited to a one year term and 25 hours per week. Responsible for inventory care, maintenance, repair, cleaning and disinfection of all dental clinic equipment, supplies, laboratory instruments as it applies to the needs of the Clayton State University Dental Hygiene Program; acts as Infection Control Officer to assure OSHA mandated infection control standards are current, completed and followed accordingly within the Dental Hygiene Program.

• Current experience as a dental assistant is desirable.

Minimum Education Requirements

Graduate from a dental assisting program or Certified Dental Assistant.

Responsibilities Summary

• While working with students during their rotation as a clinical assistant, maintains the inventory by ordering and stocking neatly all dental program/clinic supplies; rotates the stock appropriately basis as needed.
• Cleans, maintains and repairs (if possible) all equipment as specified in dental equipment manuals. Arranges for repairs and required services of dental suppliers/service technicians, with proper approval from the Department Chair.
• While working with students during their rotation as a clinical assistant, sets up all necessary equipment, instruments and supplies for dental clinics; dismantles and cleans/disinfects/autoclaves all equipment and instruments as appropriate.
• While working with students during their rotation as a clinical assistant, maintains and monitors the functioning of the water supplies, keeping adequate supply of distilled water available at all times.
• Upholds the Occupational Safety and Health Administration Hazard Communication Standard, to include updating and posting all current MSDA information sheets for chemicals handled in the clinic (e.g. radiography chemicals, cleaning agents).
• While working with students during their rotation as a clinical assistant, cleans and maintains autoclaves and ultrasonic equipment; performs biological monitoring as specified by American Dental Association Guidelines.
• Handles university information with absolute discretion and confidentiality.
• Maintains a strict professional relationship with students, staff and faculty.
• Performs hazardous waste disposal as outlined in clinic manuals; transports filled sharps containers to specified campus site for proper disposal.
• Monitors and assigns small equipment to students for use during practice laboratory times; evaluates safe return of equipment at end of practice sessions.
• Other related duties as assigned.

Office Participation
• Perform other tasks as assigned by Full-time Faculty and Department Chairperson.
Essential Duties/Major Accountabilities
• Serves as a positive, professional role model for students.
Patient Reception Management as Required
• Schedules appointments, enter new patients, process payments and walkout statements using Eaglesoft software.
• Responsible for administering the day-to-day activities of the dental clinic, including: maintaining patient records, scheduling of patients, accounts receivable, maintaining appearance and order of dental clinic.
• Manages day-to-day operations of dental clinic.
• Greets and welcomes patients and visitors to the clinic.
• Opens and closes dental clinic.
• Answers phones and responds to telephone calls and voice messages with professionalism.
• Sends sign-in information to Public Safety department to make sure patients are not ticketed for parking.
• Reviews the clinic for a neat and professional appearance and makes necessary changes.
• Ensures that HIPAA Privacy Practices are adhered to.
• Maintains and organizes patient education materials, etc.
Patient Management as required
• Checks in patients according to the clinic procedures, verifying and updating patient information.
• Assists patients to complete all necessary forms and documentation.
• Collects funds and returns Patient Service Fee sheets to students’ operatory.
• Confirms the next day’s appointments.
• Manages late patients by informing clinical instructors and students.
• Manages and records broken appointments.
• Tries to fill in cancelation and no-show appointment times.
• Collects payment from patients at the time of treatment.
• Makes follow-up appointments as needed.
• Arranges for needed patient radiographs from other dental offices.
Records Management as Required
• Gathers and accurately records information from patients.
• Ensures that records are stored securely and handled in compliance with HIPAA privacy and security regulations.
• Accurately files patient information.
• Pulls and arranges patient charts and radiographs for the next day’s appointments.
• Ensures that when a patient calls for duplicate radiographs, the student gets proper chart and mailing information.
• Ensures patient forms are in supply.
Accounts Receivable Management as Required
• Enters patient financial activity in Blackboard system.
• Maintains petty cash.
• Records and reports accurate accounts receivable activity.
• Prepares and keeps accurate records of deposits to Bursar’s office.
• Does follow-up on delinquent accounts.
Correspondence as Requires
• Sorts, organizes, and distributes mail.
• Prepares letters to patients from students.
• Prepares and sends out correspondence.
