Position Summary Information

Position Summary

This position is responsible for coordinating the administrative functions for the Office of Admissions. This person will provide wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Serve as direct administrative assistant for the Director of Admissions.

Applicant must pass Background Check as well as Credit Check for Purchasing Card responsibilities.

The applicant offered this position may be subject to a pre-employment drug test.

Qualifications
Minimum Education Requirements

High School Diploma or GED is required; Bachelor’s degree preferred.

Responsibilities Summary

• Answer, screen and transfer inbound phone calls
• Receive and direct visitors
• Handle requests for information and data
• Resolve administrative problems and inquiries
• Prepare and modify documents including correspondence, reports, drafts, memos and emails
• Schedule and coordinate meetings, appointments and travel arrangements for staff
• Prepare agendas for meetings and prepare schedules
• Manage the ordering and supply needs of the office
• Coordinate with other offices of behalf of the Office of Recruitment and Admissions
• Coordinate and maintain records for staff, telephones, parking and petty cash
• Assist with management of budget for the office
• Managing student fee account
• Maintaining and managing multiple spreadsheets for the office
• Respond to department emails from applicants and prospective students
• Assist with Front Office/Intake coverage as needed
• Other general clerical duties as assigned

Knowledge Skills and Abilities

• Extensive knowledge of Microsoft Office Suite.
• Experience working in BANNER
• Excellent administrative skills and the knowledge of practices and procedures required to manage an office.
• Knowledge of admissions process in an institution of higher education.
• Must have the ability to prioritize work assignments and manage multiple projects.
• Must be able to identify and resolve problems and exercise independent judgment in making decisions.
• Must have effective interpersonal and customer service skills.
• Must have the ability to work collaboratively in a team environment.
• Maintain a high level of professionalism.
• Ability to communicate effectively in English, both orally and in writing.
• Ability to effectively manage multiple priorities.
• Extremely detailed.
• Outstanding problem solving skills.
• Ability to work with professional integrity and discretion.
• Capacity and willingness to accept duties with initiative and resourcefulness.
