Position Summary Information

Position Summary

The Executive Assistant to the Vice President of University Advancement provides highly responsible and highly diversified administrative support to the Vice President of University Advancement (VPUA). This position also has responsibilities in Foundation support.

Qualifications

• Significant years of experience in a professional office environment with several years of high level executive administration experience and/or project management experience preferred; or a combination of education and experience that provide the required knowledge and skills.

Minimum Education Requirements

Associates’ required. Bachelor’s Degree preferred.

Responsibilities Summary

• Support the Clayton State University Foundation Board of Trustees: This includes, but is not limited to, setting meetings for committees and the full board, working with the VPUA and committee chairs to develop agendas, preparing materials to be uploaded to the Foundation share site, ensuring a quorum, and providing necessary follow-up.
• Support the Vice President of University Advancement: This includes, but is not limited to, coordinating meetings, making adjustments as needed, determining priorities for calendaring, ensuring that all materials needed for appointments/meetings are ready and available in a timely fashion and submitting travel reimbursements.
• Support ongoing activities of the Foundation: This includes, but is not limited to, writing checks, working with campus fund managers, and preparing scholarship fund agreements to be routed internally for approval and then obtaining appropriate signatures when approved.
• Support prospect management processes: This includes, but is not limited to capturing information relevant to the prospect pipeline, communicating that information to the relevant team members, and supporting the biweekly prospect management meetings.
• Provide administrative support to the AVP for Development: This includes, but is not limited to, preparing travel reimbursements and check requests.
• Special projects: other duties as assigned.

Knowledge Skills and Abilities

• Knowledge of development processes and programs. Raiser’s Edge and QuickBooks experience a plus.
• Demonstrated ability in working with Trustees, donors, volunteers, colleagues, alumni, and current students.
• Superior written and oral communications skills.
• Demonstrated time management and analytical and problem solving skills.
• Ability to multi-task, set priorities, make independent decisions, and work comfortably with computer systems and databases. Expert user of Microsoft Office Suite.
