Position Summary

The Student Activities Center (SAC) Events and Reservations Coordinator is responsible for managing the space requisition process for student organizations, campus departments, and external clients; coordinating the planning and development of all events hosted in the Student Activities Center and University Center; and assisting with training constituents to use the reservations system, understand the process flow for event approvals and space reservations, understand policies for space usage, and market events to the campus community. The SAC Events and Reservations Coordinator will additionally assist with coordinating and managing external events and space rentals in the Student Activities Center. Some evening and weekend work hours are required of this position. This position reports to the SAC Technology and Equipment Manager.

Minimum Education Requirements

Bachelor’s Degree in Public Relations, Communications, Marketing, or related degree preferred

Responsibilities Summary

Manage the space requisition process for student organizations, campus departments and external clients. Ensure that the space reservations process is efficient and timely; assist departments, student groups and external clients with identifying spaces that best meet their needs; manage the Main Street table reservation process.
Support the Technology and Equipment Manager with set-ups and tear-downs of all events as part of the Student Activities Center (SAC) and campus space requests process. This includes departments, student groups, and external events hosted in the Student Activities Center and on Main Street. Coordinate with other operations, including Dining Services, Continuing Education, Housing, Public Safety and other departments as appropriate for events that require additional services that are outside of the scope of the Student Activities Center.
Develop programming in the Student Activities Center that increases patronage and usage of the facility spaces, including Live Nights at the SAC, Movie Nights, Video Gaming Tournaments, and other activities that support student recreation and leisure to enhance the student life experience on campus. Coordinate with the Departments of Campus Life and Recreation and Wellness to promote and support the departments’ events and activities in the facility.
Educate student organizations, departments, and external patrons about facility policies and how they apply to various events and spaces; recommend policy updates as necessary. Develop trainings and materials to assist student groups and space users with hosting successful events on campus and in the SAC facility through marketing and promotion and following campus and facility policies.
Assist with collecting data to develop assessment reports on facility usage and patronage.
General duties such as assisting with office coverage and support; assisting with evening, late-night, and weekend programs; providing support as needed to the Departments of Campus Life and Recreation and Wellness, student groups, and other campus units.

Knowledge Skills and Abilities

• Experience in event planning preferred
• Knowledge of Higher education and Student Affairs principles
• Event planning, public relations and marketing principles and practices
• Risk management practices, procedures and protocols for special events
• Excellent written and oral communication skills; excellent interpersonal skills
• Positive, problem-solving attitude; ability to stay calm under pressure
• Establish and maintain cooperative relationships with those contacted in the course of work
• Utilize standard business and desktop publishing software; ability to learn and understand new software programs that are custom to space reservations and marketing/promotion
• Ability to communicate effectively in English, both orally and in writing; proven ability to interact effectively with individuals from diverse backgrounds; proven ability to multitask; ability to exercise independent judgment and decision-making
