Position Summary

The Operation Services Specialist is responsible for promptly reviewing all submitted campus contracts to ensure compliance regarding the institution’s contractual and financial obligations. The position also oversees compliance of the comprehensive loss and control program (CLCP) regarding risk and exposures of state property and employee safety. In addition, this position will annually determine and submit required insurance coverage to the Department of Administrative Services (DOAS), assist Facilities Management in ensuring compliance of the Single Stream Recycling program, update and maintain the Operation Services website, and manage the Recycling budget.

The Specialist position will also provide back-up customer service support for the LakerCard Center. These duties include accepting LakerBucks deposits and answering questions about accounts; producing ID cards; selling meal plans; answering questions about Bank Mobile, SmartPrint, and vending; delivering paper and toner to SmartPrint locations across campus; generating reports using Excel. Some evening and weekend work may be required.

Responsibilities Summary

• Responsible for reviewing submitted campus contracts for the State of Georgia, Board of Regents and E-verify compliance regarding the institution’s contractual and financial obligations; educate contract owner of the review and routing process; communicate and negotiate terms, if needed, with third party vendors.
• Provides back-up support for the LakerCard Center, including: accepting LakerBucks deposits and answering questions about accounts; creating ID cards; selling and assigning meal plans; providing support for Persona access control for Laker Village. Issues refunds and provides first-line troubleshooting support for vending and SmartPrint services.
• Assists Facilities Management in ensuring compliance of the Single Stream Recycling program, and acts campus liaison with recycling provider to implement and expand sustainability initiatives. Manages recycling budget.
• Coordinates with departments regarding the state-wide CLCP program to better manage departmental risks by monitoring loss prevention/control policies and procedures; act as campus liaison with DOAS and campus community regarding incident reporting; participate in the Safety Committee that reviews and evaluates claims to determine preventability and any corrective actions; maintain loss history data.
• Updates and manages the Operation Services website.
• Annually coordinates with applicable departments to determine campus insurance coverage for the state provided insurance policies and submit information to DOAS and to the state’s BLLIP portal.

Knowledge Skills and Abilities

• Working knowledge of: Windows and Microsoft Office; the BOR and State contractual laws and statues; loss prevention and control programs; DOAS insurance requirements and understanding of the Georgia’s Building Authority BLLIP program.
• Demonstrate attention to details; communicate and coordinate well with peers and supervisors, as well as, work with minimal supervision; exhibit organizational skills. Cash handling and customer services skills.
• Ability to interpret federal and state regulations and statues; to exercise discretion and independent judgement, and ability to maintain a budget.
• Occasional evenings and Saturdays as needed.
• Ability to lift 25-30 lbs. and use a push cart to deliver supplies.
