Position Summary

Clayton State University Office of Accounting Services is responsible for all accounting functions of the university which includes; General Accounting, Banking, Fixed Asset Accounting, Accounts Payables, Tax Accounting, Contracts and Grants Accounting, Financial Reporting, and Travel and Expenses. We have a fiduciary responsibility to record, process, and report all accurate, proper and valid financial transactions of the University. We are also charged with developing and implementing policies and procedures that ensure the safeguarding of the university’s assets and compliance with federal, state, and local laws and regulations. We are responsible for implementing better business practices for all financial procedures and practices. We strive to meet our fiduciary responsibility to the university and public through Accountability, Professionalism, and Staff Development.

The Office of Accounting Services Accountant II will join a team of faculty and staff that are dedicated to preparing students of diverse ages and backgrounds to succeed in their lives and careers. The Accountant II will assist in students’ success by ensuring that the financials of the university is accurate to the best of their abilities and will strive to ensure all financial requirements, deadlines, and goals are met. This allows the university to allocate our financial resources effectively and efficiently to not just meet the status quo needs of our students but to exceed.

The position reports to the Assistant Accounting Director and Controller. The Accountant II is responsible for assisting with all aspects of financial reports preparation, reconciling various general ledger and clearing accounts, performing internal reviews of accounts and funds, monitoring accounting transactions and account balances for appropriateness and funding, preparing management reports, documenting procedures, and performing analysis financials.

Minimum Education Requirements

Bachelor Degree or equivalent experience

Responsibilities Summary

• Analyze and audit transactions and general ledger statements for accuracy.
• Monitoring, reviewing, balancing and reconciling general ledger payroll accounts.
• Researches and reconciles discrepancies in payroll accounts, sub-modules, and sub-systems and report findings.
• Works with various departments to answer payroll benefit questions and resolve discrepancies with employee benefits.
• Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages monthly, quarterly, and annually.
• Audits accounting and financial documents for accuracy and compliance with departmental policies and procedures and state and federal statutes.
• Assists in making recommendations for improvements, adaptations, or revisions to the accounting system and accompanying procedures.
• Provide direction and training to other departmental and University staff on proper accounting policies and procedures.
• Responsible for remitting benefit payments to vendors.
• Responsible for booking payroll incoming and outgoing funds on the operating and payroll bank statement accurately and in a timely manner.
• Responsible for analyzing pay groups to ensure employee benefits are calculated correctly.
• Enter payroll journal entries to correct reconciling items into the general ledger accurately and timely.
• Interface Payroll, Benefits, and Retirement Journals from subsystem into Peoplesoft.
• Respond to departmental inquires connected with balance sheet accounts.
• Provide direction and training to other departmental and University staff on proper accounting policies and procedures.
• Reconciles asset management to ensure all assets are added correctly and are depreciated correctly
• Conducts physical inventory annually
• Correct all assets errors in the asset management module and GL to ensure proper reporting of cost, depreciation, expense, and NBV
• Special Projects as assigned.

Knowledge Skills and Abilities

• Proficiency with Microsoft Word, Excel, and PowerPoint.
• Demonstrated knowledge of and experience with financial applications Peoplesoft, Banner, and ADP.
• Understanding of and ability to apply accounting skills and concepts.
• Knowledge of Generally Accepted Accounting Principles (GAAP).
• Demonstrated Communication skills, including the ability to clearly and effectively communicate information to internal audiences, faculty, students, staff and external vendors.
• Strong analytical, problem solving, and organization skills.

Preferred Requirements
• Experience in a higher education setting is preferred.
• Knowledge and Ability to create queries and reports in Peoplesoft
